WORKFLOW RELIABILITY
What happens when an AI workflow is uncertain or fails?
A useful automation has a plan for the moments it cannot safely continue. Design the human path before connecting the tools.
Separate decisions from actions.
Claude can help interpret a messy enquiry or prepare a concise summary. Your application still decides which tools are available, validates the returned data, and executes permitted actions. Keep irreversible steps such as sending a binding quote or confirming a booking behind explicit business rules or human approval.
Three handoffs worth designing
- Missing information. Ask the customer a clear follow-up or mark the lead as incomplete. Do not guess a budget, date, or requirement.
- Low confidence or sensitive request. Escalate with the original message, the collected context, and a suggested next action. Make it obvious what the person must approve.
- Technical failure. Route failed executions to an error workflow, notify an owner, and keep the original lead available for a controlled retry.
Make ownership visible.
Every automated step needs an owner, an expected response window, and a way to see whether the handoff completed. A CRM field that says "assigned" is not enough if no one is alerted or the customer receives two conflicting replies.
Start with a narrow pilot and review exceptions with the team. Expand only when the failure paths are boring and predictable.
